Privacy Policy
Effective date: October 27, 2026 · Applies to the Rouie app and rouie.app
Who we are
Rouie is developed and operated by ROUIE LLC ("Rouie," "we," "us," or "our"), an Illinois limited liability company. This policy explains what information Rouie collects when you use the app, why we collect it, who we share it with, and the choices you have.
Information we collect
When you create an account and use Rouie, we collect:
- Account information: the email address you sign up with, and the profile details you choose to add (such as a display name), your selected goals, language, and time zone.
- Journal content: the routines you create and the entries you log against them (text, mood, photos, videos, and voice recordings), the notes you write, and any comments or chat messages you send in shared or public routines. Comments and entries can be edited after posting.
- Routine settings: each routine's schedule, reminder preferences, and who it's shared with.
- Location and weather (optional): if you allow location access, the place name and weather conditions at the time of an entry. Rouie only asks for location while you're using the app.
- AI features (optional): the questions you ask in the AI tab, the replies, and the Insights reviews generated for you, plus any answers you give to a review's question.
- Group AI agreement: whether, and when, you agreed to group AI for each shared or public routine you belong to.
- Reports and blocks: if you report content or block another member, we store who and what you reported, your reason, when, and who you've blocked — used to review reports and to keep a blocked member's content hidden from you. When you report something, we keep a snapshot of its content as it existed at that moment, separate from any later edits, so moderation reflects what was actually reported. Posting in a shared or public routine means following our Terms of Use.
- Technical information: standard server and delivery logs kept by our infrastructure providers (such as IP address, device type, app version, and request times), used to run, secure, and fix the service.
If you use the option to add a routine to your calendar, Rouie creates that event on your device. We don't read, upload, or store your calendar.
How we use your information
- Operate the core app: creating routines, saving entries, and showing your journal and history back to you.
- Support private, team, and public routines, including showing your entries to the other members of a routine you've shared or joined.
- Provide the optional AI features described below, only after you turn them on.
- Send account emails you ask for, such as sign-up confirmation and password reset.
- Send reminders and notifications, if and when you turn them on.
- Keep your account secure, prevent abuse, and troubleshoot problems.
We do not sell your personal information, we don't use it for advertising, and we don't train AI models on your data.
AI features and Google Gemini
Rouie offers two optional AI features: the AI tab inside a routine, where you can ask questions about entries, and Insights, which writes weekly, monthly, quarterly, and yearly reviews of your routines. Both are powered by Google Gemini, an AI service provided by Google.
When you use them, Rouie's server sends Google the information needed to answer you:
- AI tab, private routines: the routine's name and description, your recent entries (date, mood, and text), your notes, your conversation in that tab, and recent photos, videos, and voice recordings attached to your entries.
- AI tab, shared and public routines (group AI): the same, plus recent entries, photos, videos, and voice recordings from the other members of that routine who agreed to group AI, each labeled with that member's display name, so the AI can compare members (for example, who logged the most this week). Other members' private notes are never included.
- Insights: entries and notes from your routines for the period being reviewed, including any location name and weather attached to them, your previous review, and photos, videos, and voice recordings from that period. Once you've turned Insights on, reviews may be generated automatically on a schedule.
- Goals and intentions: the goals you set at onboarding and any "why this routine matters" note you wrote, used by both the AI tab and Insights to connect your routines to what you're working toward.
- Goal check-ins: if you set personal goals in Insights, the rating and written reflection you give when checking in on one, used to generate feedback grounded in that period's entries.
The data travels from Rouie's server to Google. Your device never sends it to Google directly. Rouie uses the paid Gemini API, under which Google does not use your content to train or improve its products. Google keeps prompts and responses for a limited time solely to detect abuse of its usage policies. See the Gemini API Additional Terms of Service for details.
Group AI in shared and public routines
Shared (team) and public routines include group AI: any member can ask the AI tab questions that compare everyone's entries in that routine. Joining one of these routines requires agreeing to this, and Rouie asks before you join. If you were already a member when group AI was introduced, Rouie asks you once the next time you open the routine; you can agree or leave the routine. Routine owners can choose "Not now," in which case their entries are left out until they agree.
This means your entries in that routine (text, mood, photos, videos, and voice recordings) may be sent to Google Gemini when any member asks a question, and the answer, which may mention you by display name, is shown to the member who asked. Members can already see each other's entries in a shared routine; group AI lets the AI read them too. To stop sharing your entries with a routine's group AI, leave that routine. Your Insights reviews only ever use your own entries.
AI replies can be wrong or incomplete. Insights are for personal reflection and are not medical, psychological, or professional advice.
You can turn AI features off at any time from the settings menu (the gear icon) in the app. After that, nothing new is sent to Google from your own questions or reviews. Group AI in a shared or public routine continues until you leave that routine. Reviews and AI chats already saved stay in your account until you delete them or your account.
Who can see your information
Private routines and their entries are visible only to you. Team routines are visible to the members you've added. Public routines and their entries are visible to anyone who joins that routine's community. You choose a routine's scope when you create it. Entries from the team and public routines you belong to also appear together in your Feed — a combined view of the same entries you can already see on each routine, not a new audience for them. Your AI chats and Insights reviews are private to you, although a group AI answer shown to another member of a shared routine may mention you and your entries.
Service providers we use
Rouie relies on a small number of providers to operate:
- Supabase: database, file storage, and backend servers, where your account and journal data are stored.
- Google (Gemini API): the optional AI features described above.
- Resend: delivering account emails such as sign-up confirmation and password reset.
- Expo: delivering app updates to your device.
- Apple: app distribution through the App Store and TestFlight.
These providers process data on our behalf to provide their service to us. We don't share your information with anyone for their own marketing purposes. If we add paid subscriptions, payments will be handled by Apple or Google, and we will not receive your card details. We'll update this policy if we add a new provider.
Data retention and deletion
We keep your account and journal data for as long as your account is active. You can delete individual entries, comments, or routines at any time in the app. You can also delete your whole account directly in the app's Settings menu — this permanently deletes your account, journal entries, notes, photos, videos, and voice recordings, comments, chat messages, and your AI chats and Insights reviews, and signs you out everywhere. If you own a team or public routine that still has other members, ownership transfers automatically to that routine's longest-standing member so their entries and comments aren't affected; a routine with no other members is deleted along with your account. If you've reported content for violating our Terms of Use, that report stays on record — without your name attached — so we can keep reviewing and acting on it; filing a report and later deleting your account doesn't erase the report itself. We keep data otherwise only as long as required for legal, tax, or fraud-prevention purposes.
Your choices
- Edit or delete your entries, notes, and routines at any time.
- Turn AI features on or off in the app's settings menu.
- Stop sharing your entries with a routine's group AI by leaving that routine.
- Report content that violates our Terms of Use, and block another member to hide their content from you, both from within the app.
- Allow or deny location access in your device's settings.
- Export a routine's entries from the app.
- Delete your account directly in the app's Settings menu, or request a copy of your data or a correction by emailing us.
Children's privacy
Rouie is not directed at children, and we don't knowingly collect information from children under 13 (or the applicable minimum age in your country). If you believe a child has provided us with personal information, contact us and we'll remove it.
International users
Rouie is available to users in the United States, Mexico, and elsewhere. Your information may be processed in the United States or other countries where our service providers operate.
Changes to this policy
We may update this policy as Rouie evolves. The effective date above shows when it last changed. If we make material changes, we'll let you know in the app or by email before they take effect.
